◈ Introduction

What is VC Tools?

VC Tools is a Discord bot developed to assist with moderation inside Discord servers. While most Discord bots are limited to only serving a purpose in text channels, VC Tools is able to monitor voice channels and user activity. Equipped with accurate models, flexibility, customization, and an easy initialization process, VC Tools is one of the best new add-ons for your server if you're looking to improve server moderation and achieve peace of mind.

Capabilities

VC Tools is able to:

Automatically join voice channels, and will move to whichever channel has more members
Transcribe user audio into text
Report curses and slurs to moderators
Report loud noises to moderators
Log user activity around voice channels
Notify users when their friends join a voice call

The ability to exempt users and channels from transcription

◈ Data Collection

Your Privacy

VC Tools takes your privacy incredibly seriously. We are committed to protecting your data, and ensuring that our program stays transparent and secure. We collect minimum data from our users, which is then deleted almost immediately after processing. Your connection status, activity, voice data, and transcribed messages are intentionally programmed to be inaccessible by VC Tools after processing them. VC Tools is also strongly protected from malicious attacks, and is not selling or sharing its data for any third-party services, training models, or databases.

VC Tools is aware of Discord's Terms of Service, and takes great care to align with them. If Discord changes their terms of service, then VC Tools will be adapted accordingly as soon as the developers become aware of new modifications.

Our Consent Method

One of the ways we ensure this is through our consent method. This stops VC Tools from handling user data until the user consents to the VC Tools bot itself. When joining a voice channel, the user will find themselves server-muted. The user will also receive a message from the bot paired with a consent button, which will unmute the user, as well as add them to VC Tools' database for future servers and voice channels.

The Safeuser & Safechannel Features

Another set of features that VC Tools supports are customizable safeuser and safechannel lists. These lists are managed by Discord server moderators and disable transcription for users and channels until those users and channels are removed. Keep in mind that while you may be marked safe in one server, you won't be marked safe in another.

⚠️ If you have consented to VC Tools and wish to be removed from our database, run the disallow command inside Discord. If you simply want to stop the bot from transcribing your voice, contact a staff member to be added to the safeuser list.

The Notify Feature

One of VC Tools' standout features is the ability to get notified when a friend joins a voice channel in a mutual server. Users can build a notification list, and whenever an account on their list joins a voice channel, VC Tools will notify them directly.

◈ How Data is Used

VC Tools, as well as any other Discord bot, uses data directly from Discord to process events and commands based on user input and activity. Unless your data is being added to our database upon a request made by you or another Discord account, your information is temporary and will be discarded after processing.

Below are three lists: normal cases of usage of data, specific cases for VC Tools, and cases where VC Tools will never use this data.

Your public profile information
Your user ID
Messages sent in servers that include the bot
Server information

Specific cases for VC Tools

Your voice data (contingent upon your consent)
Data saved by external server moderators inside the mod history database
Data sent to us through our report feature

Forbidden cases

VC Tools will never store:

Your account's email address
Your account's telephone number
Direct message data
Any other private information from Discord

◈ User Controls & Rights

VC Tools is designed to give users control over their privacy and data. We offer several ways to manage how VC Tools interacts with your voice and activity.

Consent & Opt-Out Options

Users must provide explicit consent before VC Tools processes their voice data. To stop processing, users can request to become a safeuser.

If a user wishes to revoke their consent, they can use the disallow command to remove themselves from the database.

Additionally, users have the ability to change their activity visibility for voice call notifications by changing their status through the notify status command or by blocking specific users with the notify block command.

Server-Level Customization

Server moderators can customize VC Tools with server-based behaviors. Options include:

safeuser lists – Users on this list won’t have their data processed in voice calls.
safechannel lists – VC Tools won’t join channels on this list.
Bad word detection – Monitors and reports inappropriate words.
louduser detection – Alerts moderators when a user is too loud.
Activity detection – Logs events in voice channels.
Soundboard detection – Logs use of soundboard buttons.
Activity Reporting – Allows users to report activity to moderators.

Limited Data Retention

Voice transcriptions are not permanently stored and are sent only to the designated channel if enabled. Logs stored in Discord can be deleted by moderators.

We will occasionally update this Privacy Policy to reflect new features or changes in Discord's Terms of Service. The updated policy is effective immediately.
